How to use Macros in Salesforce?

A macro is a sequence of instructions that tells the computer how to carry out a certain task. When a user executes a macro, the system executes each command. Macros save time and ensure consistency for your team.

Macros are used to automate salesforce processes. Macros can be found in the salesforce left menubar under “Automation” and then “Record Macros.”

When you create a macro, you will enter the name of the macro, choose whether it is public or private, and type out your steps. When an end-user runs the macro, salesforce will automatically navigate through each step.

There are three steps to creating a macro:

1. Create and save a list of actions you want salesforce to perform when running the macro.

2. Name and create the macro using the saved list of actions.

3. Assign the macro to salesforce users.

After you have created your list of actions, name and create your macros using these steps:

1. Navigate to salesforce left menu bar under “Automation” then “Record Macros.”

2. Click “New” in the top right corner.

3. Enter a Name for your macro and choose whether it is Private or Public. A private macro can only be used by its owner, while public macros are available to everyone with access to salesforce (including admins).

4. Type out the list of actions you created in step one under the “Macro” heading.

5. After you have finished typing your list of actions, click “Save.” Next, create a salesforce user and assign them a macro.

1. Navigate to salesforce left menu bar under “Setup.”

2. Under “People,” find the salesforce user you want to assign a macro to.

3. Click on the salesforce user’s name, then choose “Record Macro” from the options that appeared under their name.

4. Select your desired macro and click “Save.”

5. Finally, assign salesforce users to salesforce queues for them to see all relevant case information. This step will only work if salesforce users have access to their assigned salesforce queues.

1. Navigate to salesforce left menu bar under “Setup.”

2. Under “Roles,” find the salesforce user you want to assign a macro to.

3. Click on the salesforce user’s name, then choose “Queue Assignments” from the options that appeared under their name.

4. Click “Edit,” then select a salesforce queue to assign them, and find macros in the search bar for salesforce users to see all relevant case information if they have access to salesforce queues.

Macro Steps:

1. Select salesforce user

2. Login salesforce user

3. Display salesforce cases or contacts that salesforce user can access

Conclusion: Macros are sets of instructions that tell the salesforce how to complete a task. If you create salesforce macros for your team or clients, salesforce consultants can perform multiple actions at once, which saves time and adds consistency.

For example, salesforce consultants might need to send an email to their sales leads about upcoming workshops. A macro can prepare the email’s subject line and content, schedule the email to be sent at a date and time of salesforce consultants’ choosing, and update the sales lead’s case status.
